Form Summary Emails are automatically generated notifications that keep contributors informed about their assigned forms and action items. Each email gives you a clear snapshot of what's upcoming, overdue, or still pending — so you can take action without logging in.

No setup is required. This feature is automatically enabled for all IndyForms organisations.


What's Included in Each Email

Every Form Summary Email contains:

  • Upcoming forms — forms assigned to you that are due soon

  • Overdue forms — forms that have passed their due date

  • Outstanding action items — tasks requiring your attention or sign-off

  • Direct links — click through straight to any form or action item in IndyForms

Emails are sent every week, giving you a clear picture of the days ahead.


Who Receives These Emails

Any contributor assigned to a form or action item within your IndyForms organisation will automatically receive a summary email — as long as they have upcoming, overdue, or pending items to action.

If a contributor has nothing assigned or outstanding that week, no email is sent.

How It Works

IndyForms automatically runs a weekly check across all forms and action items in your organisation:

  1. The system identifies all forms and action items assigned to each contributor.

  2. It checks which ones are upcoming, overdue, or still pending.

  3. A summary email is sent directly to each contributor's inbox weekly.

  4. Contributors click the links in the email to go straight to the relevant form or action item.

Nothing needs to be configured — it runs automatically in the background.

Q. When are the emails sent?

A. Form Summary Emails are sent once a week, covering all items assigned to you that are upcoming, overdue, or pending.

Q. What if I didn't receive a summary email?

A. Check your spam or junk folder first. If it's not there, it's possible you had no outstanding or upcoming items that week — no email is sent if there's nothing to action. If you believe there's an issue, contact us support chat or via email at [email protected].

A. Can I turn off Form Summary Emails?

This is a system-wide feature and cannot be turned off from your organisation settings. If you'd like to disable these emails for your organisation, contact us via support chat or via email at [email protected] and we'll assist you.

Q. Does it include all forms, or only ones assigned to me?

A. Only forms and action items directly assigned to you are included. You won't see items assigned to other team members.

Q. Can I change the email address the summary is sent to?

A. Summary emails are sent to the email address associated with your IndyForms account. To update your email address, go to your account settings or contact [email protected].

Q. Can I receive summaries more frequently than weekly?

A. Currently, Form Summary Emails are sent weekly. If you need more frequent notifications, contact us via support chat or email at [email protected] and we'll be happy to discuss your needs.

  • If your team isn't seeing the emails, ask them to check their spam folder and whitelist [email protected].
