What's new, what's improved, and what's coming next.

This month's focus has been on bringing AI deeper into the IndyForms experience, overhauling how notifications are delivered, and shipping a series of quality-of-life improvements across forms, folders, and sharing.

🚀 What's New


Ask Indy (AI Assistant) (Early Beta)

Ask Indy AI is IndyForms' new built-in AI assistant, currently in early beta and available by invitation to organisations that have opted in to trial it.

You can ask it natural-language questions about your forms and records — for example:

  • "Show me incident forms for the last six months, broken down by room"

  • "Are there any expired blue cards on our staff register?"

  • "Remind me to follow up with an action item on the contract to sign on Monday"

When Ask Indy AI finds relevant data, it presents results as formatted tables with direct links to records. It can also create action items on your behalf directly from the conversation.

Ask Indy AI is powered by Claude on AWS Bedrock, running in Australian data centres and fully ISO-compliant.

What Ask Indy AI can do:

  • Form design & building — Design and build new forms from scratch based on your requirements, covering all field types, sections, permissions, and submission settings. You can also ask it to preview a form before publishing.

  • Querying records — Ask it questions about your existing form responses: count submissions over a date range, list summaries across a form, retrieve individual records, or pull data by section.

  • Action items — Ask Indy AI can create action items from a conversation, assign them to users with a label, description, and due date, mark them as complete, and list action items filtered by user, status, date range, form, or specific record.

  • User lookups — It can list all users in your organisation, look up a specific user, and list users by role or group (read-only).

  • Navigation links — Ask it to link you directly to forms, records, users, groups, the activity feed, templates, documents, merchant centre, or account settings.

  • Datasets — It can list available datasets and their columns, retrieve details on a specific dataset, and use datasets in form designs.

    What it can't do yet: edit existing form designs, create or modify records directly, update user accounts, or delete anything.

Not available to all customers yet. Ask Indy AI is being trialled with selected organisations first. We'll expand access as we refine the experience. If you'd like to join the early trial, reach out to the IndyForms team.


In-app notification bell

Notifications are now delivered inside IndyForms via the bell icon — in addition to email.

Any event that previously triggered an email notification — form submissions, action item assignments, shared forms — will now also appear in your in-app notification feed.

Push notifications for browsers and the upcoming mobile app are also in progress, so when the app launches, notifications will flow through automatically.

📝 Note: More granular notification delivery preferences (choosing email vs. in-app per event type) are coming in a future release.


Folder drag & drop reordering

You can now drag and drop folders — and document folders — into any order in the sidebar. Previously, folders were fixed in the order they were created.


Custom subject on form sharing

When sharing a form by email, you can now add a custom subject suffix to the notification. This lets you give recipients more context about what they're receiving — for example: "You've been shared a form — please complete before Friday."

The base subject (which identifies the form as coming from IndyForms) is retained to protect against misuse. A full custom subject is not supported for this reason.


✨ What's Improved

Mobile AI designer

The AI form designer is now fully mobile-friendly. The file upload button has also been redesigned — it's now a compact + icon, keeping the chat interface clean and consistent with how other AI tools handle attachments.

Rich text editor updated (Froala v5.2)

The rich text editor used in form fields has been updated. This resolves a long-standing issue where text copied and pasted from Word documents (including bullet points and formatted content) would display correctly in the form but render incorrectly in PDFs and print outputs.

Rate limiting and auto-scaling

Two infrastructure improvements have been made to protect platform stability:

  • Rate limiting has been introduced so that if a single user sends an unusually high volume of requests (for example, a form triggering continuous save events), they are gradually throttled rather than causing a slowdown for all other users. A dialogue will appear to let the user know they've been throttled.

  • Auto-scaling has been configured on Azure so that if server resources spike, capacity scales up automatically and back down once the load subsides — without requiring manual intervention.


🔜 What's Next (Product Roadmap)

Ask Indy AI — wider rollout

Once we've refined the experience with our early trial customers, Ask Indy AI will be available to everyone. Document library access is coming soon, so you'll be able to request a review and check of your documents (e.g., policies, manuals, etc.)

MCP connector for Claude / AI tools

We're building a connector so customers who use Claude (or other compatible AI tools) can query their IndyForms data directly from within those tools.

Pre-populated share message

When sharing a form, IndyForms will remember the subject and message you used last time, so you don't have to retype them.

Organisation identifier rename

You'll soon be able to rename your organisation's URL identifier from account settings. Existing shared links will continue to work automatically.

PDF email delivery

A PDF copy of a submitted record will be automatically emailed to selected recipients, including people who don't have access to the form itself.

"Via user" email sending

Invitations and shared form emails will show the sender's name rather than a generic IndyForms address.

Auditor / read-only sharing

Grant temporary, read-only access to specific records for audits, then revoke it cleanly when done.

Unified form sharing

Replacing the internal vs. public form split with a single sharing option applied at the share level.

Mobile app

Coming once the current notifications and sharing work are bedded down.
