Using IndyForms With AI Assistants (MCP)

Connect IndyForms to AI assistants like Claude to find records, summarise responses, raise action items and manage documents in plain language.

IndyForms can connect to AI assistants through MCP (Model Context Protocol), an open standard AI tools use to connect to other software. Once connected, you can ask your assistant to find records, summarise responses, raise action items, share forms and manage documents — all in plain language, without leaving your chat.

This guide walks you through what the connector can do, what to check before connecting, and how to set it up.

What You Can Do With IndyForms + AI Assistants

Using the IndyForms connector, you can ask your assistant things like:

  • Count records → “How many Incident Reports were created last month?”

  • Summarise responses → “Summarise the Immediate Actions section across this week’s incident reports.”

  • Raise follow-ups → “Raise an action item on this record to call the family by Friday.”

  • Share forms → “Share the Staff Induction Checklist with [email protected].”

  • Look up data → “Find rows in the Pay Rates dataset for Level 2 support workers.”

  • Manage documents → “Upload this as a new version of our Incident Management Policy.”

The assistant always acts as you, with the same access your IndyForms user account has.

1. Before You Connect

When you connect IndyForms to an AI assistant, the assistant acts with your user account’s permissions. It can read any forms, records, documents and datasets you have access to, and can take actions such as adding records, sharing forms and updating documents.

Any information the assistant reads is sent to your AI provider and is stored and processed according to that provider’s terms, not IndyForms’. Before connecting, we recommend that you:

  • Review your AI provider’s data retention, training and security policies

  • Confirm that using an AI tool with client or participant information is permitted under your organisation’s privacy policy and regulatory obligations

  • Connect with a user account that has only the access it needs, rather than an administrator account

  • Review any changes the assistant proposes before approving them

⚠️ Important: If you work with NDIS participant or clinical information, check with your privacy officer before connecting. Your AI provider’s terms — not IndyForms’ — apply to anything the assistant reads.

2. Connect IndyForms to Your AI Assistant

IndyForms works with AI assistants that support remote MCP connectors, such as Claude. You’ll need this server URL:

https://api.indyforms.com/mcp/indyforms
  1. Open your AI assistant’s connector or integration settings.

  2. Choose Add custom connector.

  3. Name it IndyForms and paste in the server URL above.

  4. Click Connect. You’ll be taken to the IndyForms sign-in page.

  5. Sign in with the IndyForms account the assistant should use, and approve the access request.

  6. Back in your assistant, enable the IndyForms connector for your conversation.

Tip: To check it’s working, ask: “Which IndyForms user am I connected as?” The assistant should reply with your name and email.

Some AI assistants only allow custom connectors on certain plans, or need an organisation owner to add them first. Check your provider’s help centre if you can’t see the option.

3. Start Using IndyForms in Your Chats

Ask in plain language and name the form, dataset or document where you can. The more specific you are, the better the result.

For anything that changes data, the assistant should tell you what it’s about to do before it does it. Read it carefully before you approve.

4. Disconnect IndyForms

You can disconnect the integration at any time from your AI assistant’s connector settings. Once the IndyForms connector is removed, the assistant can no longer reach your account.

Frequently Asked Questions (FAQ)

Q. Which AI assistants work with IndyForms?

Any AI assistant that supports remote MCP connectors with sign-in, such as Claude and ChatGPT. Availability depends on your AI provider’s plan.

Q. Can the assistant see forms I don’t have access to?

No. The assistant only sees what your IndyForms user account can see. If something is missing, check you signed in with the right account and that your role has access.

Q. An action failed — why?

Some actions need both a feature on your subscription and a permission on your role, such as managing action items. Ask your IndyForms administrator to check both.

Q. I connected the wrong account. What do I do?

Disconnect the IndyForms connector in your AI assistant, then connect again and sign in with the correct account.

Q. Can IndyForms see my conversations with the assistant?

No. IndyForms only receives the requests the assistant makes to your account. Your conversation stays with your AI provider.

+ Best Practices for Using AI Assistants With IndyForms

  • Connect with a dedicated user account that has only the access the assistant needs.

  • Name forms, datasets and documents clearly so they’re easy to ask for.

  • Always review proposed changes before you approve them.
