How to Use the Activity Feed

Want to see everything happening across your forms in one place?

Overview

The Activity Feed is your account-wide log of every form record in IndyForms. Instead of opening each form separately to check on responses, the Activity Feed brings every record from every form and template into one place, updated in real time as people start, edit, and complete them.

You'll find it in the left-hand navigation, just below Forms. It's the fastest way to answer questions like "what's come in today," "what's still outstanding," and "who last touched this record" without hunting through individual forms.

Reading the feed

Each row in the Activity Feed is one record — a single response to a form. The columns tell you everything you need at a glance:

Column

What it shows

Status

Where the record stands: Complete (fully submitted), Incomplete (started but not finished), or Partial (partially filled in and saved)

Record Number

The record's reference number, when the form assigns one

Form

The name of the form the record belongs to. Click it to open that form's own record list

Last Edited

The date and time the record was last changed by anyone

Date Created

The date the record was first started

Date Due

The due date set on the record, if any — shown as a countdown badge (e.g. "3 days from now") when one is set

Contributors

Avatars of everyone who has interacted with the record

Each row also has three quick actions on the left: the eye icon opens a read-only preview of the submitted record, the pencil opens it for editing, and the trash icon deletes it.

Filtering and searching

With thousands of records flowing through an account, narrowing the feed down is essential. Three tools sit above the table:

  1. Status dropdown — the quickest filter. Switch between Any, Complete, and Incomplete to instantly narrow the list.

  2. Advanced filters — click the slider icon to open the full Filter panel:

    • Form Select — limit the feed to one form

    • Tags — filter by tags applied to records

    • Contributors — show only records a specific person has touched

    • Date Created — pick a single date, or switch on Use Range to filter between two dates

    • Dataset — filter by a connected dataset

Apply Filter runs the search; Clear All resets every field.

  3. Search — click the magnifying glass to open a free-text search box and search across records directly.

💡IndyTip

Combine the Contributors filter with a Date Created range to see exactly what one teammate has actioned this week, without leaving the feed.

Working with a record

Clicking the eye icon on any row opens that submission in a read-only preview, showing the filled-in form exactly as it was submitted, with options at the top to switch to editing (Edit Record) or open the record's menu for further actions. Clicking a form's name instead takes you to that form's own Form Records list, which is scoped to just that one form and adds form-specific fields (its own columns, an Export option, Schedules, and Share Form).

The Contributors column shows an avatar for everyone who has interacted with a record, and hovering over an avatar reveals who they are:

  • Team members show their name, email, account status, and licence type

  • External collaborators (people outside your IndyForms account who were given access to a record) are labelled External, alongside their name and email

  • Records submitted without a signed-in user show as Guest User

When more than one person has contributed, their avatars stack so you can see everyone involved at a glance.

💡IndyTip

Hovering a Contributor avatar is the fastest way to confirm who actually submitted a record — useful when a form was filled in on someone else's behalf.

Frequently Asked Questions (FAQs)

Q. Does the Activity Feed show records from every form, or just one?

A. Every form and template in your account, all in one list. To see records for a single form only, click that form's name to open its dedicated Form Records list.

Q. Can I delete a record from the Activity Feed?

A. Yes. Click the trash icon on that record's row. Deleting a record is permanent, so double-check you have the right one first.

Q. Who can see the Activity Feed?

A. Anyone with access to your IndyForms account and the relevant permissions can view it. What each person can see may depend on their role and licence. Check with your organisation admin if you're unsure.

💡 IndyTips

  • Sort by Last Edited to see the most recently active records first — handy for a daily check-in.

  • Use the advanced Filter panel's Date Created range instead of scrolling through pages of history.

  • Widen Results per page if you're scanning a large batch of records at once.
