Understanding Organisations, Accounts & Subscriptions in IndyForms

Learn how IndyForms accounts and subscriptions work—including plan features, user roles, and how to manage your subscription.

IndyForms is designed to give you flexibility and control when managing forms, data, users, and automation—whether you’re a solo practitioner or a large team.

Here’s how the structure of Organisations, Accounts, and Subscriptions works.


Organisations

An Organisation in IndyForms represents a workspace—like a clinic, business, service, or team. Each organisation has its own forms, users, responses, storage, and subscription.

You can create and manage multiple organisations using the same email login. This is ideal for:

  • Allied health professionals with different service types

  • Childcare operators managing multiple centres

  • Councils, franchises, or multi-site teams

To manage your organisations:

  1. Click the dropdown at the top of your screen.

  2. Select My Home to view all your organisations.

  3. Use Create Organisation to start a new one.

You can copy forms between organisations—great for reusing templates or standardising processes across teams.

Each organisation has its own subscription plan and admin controls, so you can tailor access and features as needed.


Account Access

Your Account is your personal login to IndyForms, made up of your email and password. With one account, you can:

  • Be assigned an Admin or General User role within any organisation

  • Access different features depending on the organisation’s subscription plan

  • Have permissions tailored using Group Permissions (available on trial & paid plans)

Admin Licences

  • Essential and Premium plans start with 1 Admin licence, but you can add more as needed. Each additional Admin licence is charged at the same rate as your selected plan.

  • Enterprise plans support unlimited Admin licences.

  • During your Premium trial, you’ll have access to all Premium features, including unlimited Admin licences.

    • Once the trial ends, your account will be in "read-only" mode.

You can always see the pricing, upgrade to reactivate your plan, or add Admins at any time through Dashboard > Manage Subscription > Change Subscription.


You can also click your profile in the top-right, and go to View Account > Subscription > Change Subscription.


How to Change Your Subscription

To update your plan:

  1. Click your avatar or name in the top-right corner of the screen, then select View Account from the dropdown menu.

  2. In the Account screen, go to the Subscription tab.

  3. Click the Change Subscription button.

  4. Choose the subscription tier that suits your needs:

    • For the Enterprise plan, click Get in touch—you’ll be directed to the IndyForms Demo request form.

  5. Choose to pay prices in AUD or USD.

  6. Under Users, confirm the number of admin licences you need.

  7. Click Update, then review and Confirm the payment summary.

  8. Make sure you’ve entered valid credit card details under Payment Method—otherwise, your payment will not be processed.

Frequently Asked Questions (FAQs)

Q. Can I be part of multiple organisations with the same login?

A. Yes, you can create or be invited to multiple organisations using the same email address. Use the org switcher at the top of your dashboard to move between them.

Q. What happens to my Admin licences after the trial ends?

A. When your Premium trial ends without upgrading to a subscription, your account will be in "read-only" mode, and only one (1) Admin user (the billing contact) will remain active. Any additional Admins will lose access. To restore access, simply subscribe to a plan through your Accounts page.

Q. Can I move form templates between organisations?

A. Yes. Use the My Home view to copy form templates (designs) between your organisations. This is perfect for standardising processes across services or locations.

Q. Do I need a separate subscription for each organisation?

A. Yes. Each organisation has its own subscription and billing, so you can choose different plans based on the needs of each team or location. If you'd like to consolidate subscriptions, please get in touch for our Enterprise option.

Q. How do I upgrade to Enterprise?

A. Select Get in Touch on the Enterprise plan during subscription selection. You’ll be redirected to our demo request form, and someone from our team will reach out to assist you.

Q. Why can't I access all templates on the trial?

Premium Templates are a Paid Feature and are only available on paid plans.


💡 Tips

  • Multi-site operator? Create separate organisations for each site, then copy forms between them to maintain consistency.

  • Trying out features? Your trial includes Premium access, so take this time to explore features like the Public API, AI Designer, and Group Permissions.

  • Use Group Permissions to tailor access for different roles and teams on forms—available on trial and paid plans.
